Meeting Minutes 14-04-2026

Please find the minutes from the April meeting here. There was no FirstPort attendance at this meeting although an email was sent on the day. As contained there has been some communication since, we will follow up with more information as required.

All current issues were updated at this meeting with the relevant information contained within these minutes and action to follow where appropriate. Our spreadsheet of outstanding FirstPort issues is also included.

As always thanks to all who took the time to attend the meeting, and to those that acknowledged they would not be able to attend in advance. Particular thanks as usual to Emma for taking notes and reviewing these minutes.

Since the meeting and these minutes were written we have now received our invoices for the 2026 service charge. This should be accessible on your FirstPort My Home Portal. This is based on the revised amount after we challenged the Ground Maintenance costs and Management Fees, both increased but by less than it would have. The estate fees for 2026 per household are £228.73. Included in this are one off quotations for the Woodland Work, Hedge planting and Tree Replacement which works out at around £19.14 per household, this amount will not be repeated next year.

For those of you that were residents for all of 2024 there should be a credit on your account for £41.81. Once this is deducted you should have £186.92 remaining to pay. The due date for payment is 23rd May 2026, following this they should follow FirstPort’s payment policy which includes sending reminder letters if you forget. Be aware these may be sent by email and get junked / spammed, but they should also be logged on your My Home Portal. The 2026 estimate documents will be added to the website later this week.

The next meeting is 7:30pm on Tuesday 14th of July 2026. The meetings will be held in one of the four locations at Wymondham Rugby Club.

The July meeting will also be our AGM, so as detailed in the minutes this will be the time that roles on the committee can change, others can be nominated, and existing roles ended. If you would like to be involved or nominate yourself or others, please let us know. Any Phase 2 resident is welcome to be a committee member, all we ask is that you attend at least one meeting a year. Existing committee members and officers will be contacted to see if they wish to continue for another year. We will also use the AGM as an opportunity to review our constitution.
